   Firstly, our internal sales and management staff are the only ones who know the names of our clients. As soon as we send material to our translation team for processing, we replace names and personal details with internally identifiable codes. This ensures that client identities remain confidential throughout the translation process.

   In an industry where national and international bodies rely on us for the utmost levels of discretion, sharing client details for testimonial purposes is not always possible. We divulge the names of our clients only with their prior approval, and we never link this information to the material we have processed for them.

2. Protection of Intellectual Capital

   Secondly, when material is particularly sensitive, we split documents among separate translation teams so that no individual team has access to the document in its entirety. We use this method in rare cases and in collaboration with our clients’ pre-approval. While this approach can affect consistency, we ensure high levels of consistency by agreeing on and implementing specific terminology among all teams.

3. Protection of Information Distribution

   Thirdly, most of our clients prefer having their documents handled by a single approved translation team, minimizing the number of people with access to their material. Once we have a fully vetted and approved team in place for a client, we ensure that only this team works on that client’s material as far as possible. In rare cases where time constraints or scheduling conflicts arise, we work with our clients to find a satisfactory solution.

   Finally, we have long-standing, fully executed non-disclosure agreements in place with all our language practitioners. Moreover, we often sign individually tailored formal confidentiality agreements with our clients to provide further assurance of our confidentiality measures.
