Put your Confidence in Rosetta

January 29, 2014 by Rossella Mastropietro

We understand that confidentiality and data security is very important for our clients and naturally it is for us too. Confidential material comes in all shapes and sizes, no matter the type of document everything at Rosetta is treated with the strictest of confidence.

Our minimum confidentiality protection measures involve 4 key areas:

1. Protection of Client Names

The names of our clients are known only to internal sales and management staff. As soon as material is sent to our translation team for processing, names and personal details are replaced by only internally identifiable codes.

We only divulge the names of our clients with their prior approval, but this is never linked to the material we have processed for them. Many of our clients are more than happy to be quoted in promotional material, but in a business whereby national and international bodies rely on us for the utmost levels of discretion, sharing client details for testimonial purposes is not always possible.

2. Protection of Intellectual Capital

When material is particularly sensitive we split documents amongst separate translation teams so that no individual team has access to the document in its entirety. This method is used in only rare cases and in collaboration with our clients’ pre-approval. This method can mean that consistency throughout the translation can become an issue. In order to keep consistency to as high levels as possible specific terminology is agreed and implemented amongst all teams.

3. Protection of Information Distribution

On the other hand, the majority of our clients are happier having their documents handled by only one approved translation team, thereby keeping the pairs of eyes that will have access to their material to a bare minimum. Once a fully vetted and approved team has been installed for a client we will ensure only this team works on that particular client’s material as far as is possible. In the rare cases when time constraints and conflicts of timetables may not allow for this we will work with our client to reach a satisfactory solution.

4. Protection of Market Sensitive Information

Whilst we have long standing, fully executed non-disclosure agreements in place with all our language practitioners we also often sign individually tailored formal confidentiality agreements with our clients to provide further assurance of the confidentiality measures we have in place.

High levels of confidentiality are not specific to only the legal sector, but throughout our client markets. Confidentiality is, therefore, paramount at Rosetta and we ensure that our staff and practitioners follow our strict guidelines at every stage of the translation, sales and project management cycle. We have regular internal and external audits in place to check and fine tune compliance so that our clients can be confident in our confidentiality!
